Every engagement is scoped with the same five-step estimation process. You receive a written cost estimate before any work begins and you are never invoiced outside the agreed scope without prior approval.

How every estimate is built.

Identify Deliverables

Discovery surfaces the specific deliverables your organization needs. Each maps to a service area with an established hour range drawn from delivering that work across multiple organizations.

Assess Complexity

Each deliverable is rated low, medium, or high based on your organization's size and structure, the documentation already in place, the number of stakeholders, and any regulatory or compliance requirements.

Estimate Three Scenarios

Every deliverable receives a low, mid, and high hour estimate. The low is the floor for clean inputs and minimal revisions. The high is the ceiling accounting for added complexity. The mid is the figure we recommend budgeting against.

Apply Rates

Each service area carries a standard rate reflecting the expertise required, ranging from $125 to $250 per hour. Rates multiply against the hour estimates to produce a cost range per deliverable.

Total the Engagement

All deliverable costs sum into a total estimate with low, mid, and high scenarios, delivered as a written proposal with full transparency into every line item.

Billing & Terms

Clear terms, in plain language.

How does invoicing work?
Invoicing is monthly or milestone-based depending on the structure we agree to, with Net 15 payment terms unless otherwise specified. Unused prepaid hours roll forward within the contract term.
What happens if scope changes?
Scope changes go through a simple written amendment. HERA flags the change, provides an updated estimate, and secures your approval before proceeding.
What if we need to pause or cancel?
You are responsible only for hours already worked. There are no cancellation penalties.
Can we structure this as a fixed fee?
Yes. Larger engagements are frequently structured as milestone-based fixed-fee contracts, with payments tied to deliverable completion across phases. This gives you budget certainty and ties payment to demonstrated progress.
Can we phase the engagement?
Yes. Prioritize the most urgent deliverables first and add phases over time. After discovery you can also scale the proposed engagement up or down before anything is finalized.
